Long documents are where AI saves the most time, and also where it fails most quietly. A summary that reads well can still skip the one clause that matters. This guide shows a method that gets you a fast summary and a way to trust it.

What you need

  • The document as a PDF, Word file or text (scans work too, see the FAQ).
  • An AI assistant that accepts file uploads. Claude, ChatGPT, Gemini and Gemini Notebook all do.
  • 15 minutes.

Our pick for this job is Claude, because it handles very long documents well and tends to quote the text it is summarizing, which makes checking easier. Gemini Notebook (formerly NotebookLM) is a strong free alternative when you want every answer tied to a citation in your own files.

Step 1: Ask for structure, not “a summary”

“Summarize this” gets you a vague paragraph. Tell the AI exactly what you need and how to lay it out.

Structured summary prompt

You are helping me review the attached document quickly. Read all of it, then give me:

  1. A five-sentence plain-English summary.
  2. The ten most important facts, numbers and dates, each with the page number.
  3. Anything that creates an obligation, deadline, cost or risk for me, with the page number.
  4. Anything unusual or that you would ask a lawyer or accountant about.

Quote the original wording for points 3 and 4. If you are not sure about something, say so instead of guessing.

The page numbers and quotes are the important part. They turn the summary into a map you can check.

Step 2: Interrogate it with follow-ups

Once you have the overview, ask the questions you actually care about. Good follow-ups are specific:

  • “What happens if I cancel before the end of the term? Quote the clause.”
  • “List every fee mentioned anywhere in the document.”
  • “Which sections did you skip or summarize lightly?”

That last question is worth asking every time. It surfaces parts of the document the model skimmed.

Step 3: Spot-check against the original

Pick three items from the summary, preferably numbers and deadlines, and find them in the PDF using the page numbers. If all three are right, the summary is probably reliable. If one is wrong, re-run step 1 on the relevant section only.

Step 4: Save a reusable version

If you review similar documents often (leases, supplier contracts, research papers), save your prompt. In ChatGPT you can save it as a custom GPT or project instructions, in Claude as a Project, and in Gemini Notebook as a notebook with your standard sources.

Which tool to use

Tool Best when Watch out for
Claude Very long documents, careful reading, quoting clauses Free plan limits on long files
Gemini Notebook You want every answer cited back to your own sources Less flexible for rewriting and drafting
ChatGPT You also want charts, tables or a rewritten version Check figures from complex tables
Gemini Your files already live in Google Drive Results vary with formatting-heavy PDFs

The short version

Ask for a structured summary with page numbers and quotes, question the parts that matter to you, then check three facts against the original. That takes about 15 minutes, and for a typical 60-page document it replaces one to two hours of reading.

Questions people ask

Is it safe to upload a confidential contract to an AI tool?

It depends on the tool and your plan. Check whether the provider uses your uploads for training and whether you can switch that off. For sensitive documents, use a business or enterprise plan with data protections, or remove names and figures before uploading.

Can AI summarize a scanned PDF?

Usually, yes. Most major assistants can read text from scanned pages, but accuracy drops with poor scans, handwriting and tables. Spot-check numbers against the original page.

Can I rely on an AI summary of a legal contract?

Use it to understand the document faster and to find the clauses worth a closer look, not as legal advice. For anything you are about to sign, have a qualified person review the clauses the summary flags.
